The 120-person offsite

The brief

Leadership wanted the whole company in one room for the first time in two years, with a fixed budget and eight weeks' notice.

What I did

• Shortlisted five venues, ran site visits and negotiated a package including rooms, catering and AV.
• Booked travel for 120 people from four cities with a single shared itinerary.
• Produced a minute-by-minute run-of-show and briefed a small volunteer crew.
• Built a contingency plan for weather, delays and dietary needs — and needed most of it.

The outcome

Everyone arrived, every session started on time, and 96% of attendees said they would come again. The CEO called it "the smoothest thing we've ever done."
